The Monday sponsor calls we kept losing.

Every event ends the same way. Attendees leave Saturday night. Sunday, you sleep. Monday 10am, the biggest sponsor asks for a debrief. What did people think? What was the NPS? Which session got the highest rating? Any quotes we can use in marketing?

Our first two years, this meant a frantic Sunday night: export raw feedback from SurveyMonkey, dump into Excel, calculate NPS by hand, skim 400 open-text answers for good quotes, paste into a slide. Total time: 5-7 hours. Total sleep: broken.

Then a MICE agency partner asked us to just... automate it. So we did. Feedback form is a session-level 1-10 rating plus one open-text box. Feedback closes 24 hours after the event ends. A cron runs, calculates NPS, buckets sentiment on open text, pulls the top 12 quotes by length + positivity, generates PDF and PowerPoint decks with the client's brand.

By Monday 9am, the deck is in the client's inbox. First time we shipped this, the client thought we'd stayed up all night. Nobody did.

  1. Saturday 6pm. Event closes. Doors shut, feedback survey URL pushes to every attendee's phone via the app and email. "How was today? (0-10) Any highlight?"
  2. Saturday 8pm - Sunday 6pm. Response window. Typical response rate for us runs around 42-58% when the prompt fires in-app. Way higher than the 8-12% we saw with post-event email-only.
  3. Sunday 6pm. Survey auto-closes. Cron picks up: computes NPS across all responses, per-session ratings, sentiment split on open-text.
  4. Sunday 7pm. Report generator fires. Picks the top 12 quotes by a mix of length (over 60 chars) and positive sentiment. Also picks 3 negative quotes so the deck doesn't feel like a PR piece.
  5. Sunday 8pm. PDF and PowerPoint land in the admin dashboard. Client gets an email: "Your report is ready".
  6. Monday 10am sponsor call. Client opens the PPT, shares screen. NPS score, sentiment donut, top quotes with attendee first names, per-session rating bar chart. Sponsor asks for a slide with just their-sponsored-session data. Client filters, exports, sends within 3 minutes.
