Main Hall, VIP Lounge, Day-2 Auditorium, Sponsor Zone. Each has its own scanner URL. Attendee passes are checked against the zones their tier is allowed into. Green means enter. Red means point them to the right gate. Every scan is logged.
Create as many zones as your venue has entries that matter. Attach ticket tiers to each zone. A VIP tier can be allowed in three zones. A media tier can be allowed in one. Anyone with a valid pass tries every gate anyway โ you just decide who gets through.
A trade expo in Bengaluru in 2025. Two-day event, roughly 5,400 attendees, three ticket tiers. General attendees paid โน2,500 for the exhibition floor. VIPs paid โน18,000 which included a curated dinner on day one. Media had free press passes, exhibition floor only.
The dinner was in a partitioned section of the same hall. One evening the client's ops lead came out and said 40 general attendees had walked into the VIP dinner because the partition curtain wasn't obvious and the badge check at the dinner door was two staff eyeballing lanyard colours. VIP dinner ran โน4 lakh short of budget on food.
We added zones next quarter. Each physical door became a zone with its own gate URL. Staff at each door opened the URL, camera on, scanned every QR. VIP dinner tier had access to the VIP Zone; general and media didn't. Denials that evening: 27. Zero freeloaders got in.
The colour-flood UI came from the same event. Staff kept getting confused about which URL was open on which phone. So each zone got a colour, and when the gate URL opens, the whole screen turns that colour. From ten feet away you can tell which gate a staff member is running.
Time spent per gate scan: about 1.5 seconds. Time saved arguing at doors: many hours.
