Why we built it this way
The Sunday-night sponsor call that broke our patience.
Our first year running an agency, we made a rule. Every Friday before an event, someone on the team spent three hours cleaning the guest sheet. VIP list for the concierge desk. Dietary count for catering. Sponsor list segmented by lead status. Every client wanted a different cut, and every cut meant another CSV, another paste into Excel, another round of "can you resend, the file didn't come through".
We thought the fix was a shared Google Sheet. Turned out that made things worse. Volunteers with the link accidentally emailed the guest list to the wrong sponsor. One MICE agency in Delhi had a junior forward a full VIP row to a rival brand. That was the day we stopped pretending Sheets were a CRM.
So the admin panel here has three things baked in from day one. Role-scoped views so a volunteer literally cannot see the guest list. Filters that live in the URL so you can bookmark "VIP + not checked-in" and send that link to the concierge. And a one-click Excel with every custom field as its own column, no manual header cleanup after.
Small thing that matters. Timestamps are in IST by default. Nobody wants to convert UTC in the middle of a Saturday shift.
How it works in practice
A 450-guest awards night, hour by hour.
Real event we ran in Bengaluru. 450 registrations, mixed VIP and general, three sponsors each wanting different cuts. Here's the timeline.
- 3 weeks out. Client sends the sponsor deck. We add three custom fields to the form: "sponsor of interest", "meal preference", "arrival mode". Every new row now carries those fields.
- 1 week out. Concierge asks for the VIP list at 11pm on WhatsApp. We open the panel, filter category=VIP, hit Excel, drop the file in the group. 30 seconds start to finish.
- Day before. Catering wants meal counts. We filter meal=veg, meal=non-veg, meal=jain separately. Three exports, forwarded. Chef confirms count within the hour.
- Event day, 5pm. Doors open. Live counters at the top climb: 47, 112, 218. Client stands behind the reception desk watching the number rise on a laptop we've handed them.
- 7:30pm. A guest lost her pass. Staff searches "Kavya", finds the row, taps check-in. 8 seconds.
- After. Final export: all 428 rows, with checked-in timestamps and every custom field. Sponsor gets their branded segment. Finance gets a GST-friendly CSV. Done before we leave the venue.
Total ops-team time on Excel work across the whole event? Roughly 12 minutes.
