A B2B SaaS client in Bengaluru asked us for one thing: every registration into HubSpot, tagged by event, ready for their SDR team by 9am the next morning. Simple ask. We wired it up through Zapier. Cost was โ‚น2,000 a month.

Then they ran a webinar with 800 signups over 40 minutes. Zapier's โ‚น2k plan caps at 750 tasks. We hit the ceiling at signup 632. The remaining rows just... waited. Their SDR team spent Monday morning wondering why the pipeline looked light.

We tried the โ‚น6k Zapier plan next event. Same client, similar volume. This time it worked, but the cost per event landed at roughly โ‚น300 in Zapier fees alone. On 12 events a year, that's โ‚น36,000 for what should be a plumbing feature.

So we built native connectors. HubSpot, Zoho, Mailchimp direct. No middleware. Failed pushes retry themselves with backoff. No task cap, ever. If your CRM is down at 3am, the queue holds and drains when it's back.

A HubSpot-pipeline event, wired in 12 minutes.

  1. Setup, 4 minutes. Client pastes their HubSpot API key into the Integrations panel. Green tick appears. We list all their HubSpot contact properties, including custom ones like "lifecycle_stage_v2".
  2. Field mapping, 5 minutes. Registration form has 8 fields. Drag each to a HubSpot property. Name to firstname+lastname, company to company, "how did you hear" to a custom source field. Save.
  3. Trigger config, 3 minutes. Three triggers: on register (create contact, tag: "Event: Summit 2026 - Registered"), on check-in (add tag: "Attended"), on feedback submit (add tag: "Feedback given"). Client's SDR workflow already listens for these tags.
  4. Event day. Registrations flow in. Each hits HubSpot within 800ms of submit. Check-ins fire the "Attended" tag in real time. SDR sees at 6pm which prospects actually showed up.
  5. Next morning. Client's sales lead runs a HubSpot view: "Contacts with Attended tag + no follow-up scheduled". 214 rows. SDR queue for the week is built by 9.30am.

No Zapier bill. No task cap. No 3am pager because a webhook timed out.

Questions we get

Which CRMs are supported?
HubSpot, Zoho CRM and Mailchimp are live in production. Salesforce ships next quarter. Any other CRM connects via the raw webhook option.
What if my CRM is down?
Failed pushes go to a retry queue. Three attempts over 30 minutes with exponential backoff. If it still fails, the sync log flags it and you can replay manually.
Do you need Zapier?
No. Every integration is native. That removes the โ‚น2k Zapier bill and the 750-task-per-month cap that breaks on event day.
Can I map custom form fields?
Yes. Any field you add to the registration form appears in the mapping dropdown. Match it to any CRM property including custom ones.
