QR code check-in that works on any phone — no app needed

Most event check-in systems make you buy dedicated hardware, install proprietary apps, or pay extra for scanner licenses. At a 500-person event, that is a logistical and budget problem. SignupDesk's check-in scanner runs in any smartphone browser — staff can start scanning within 30 seconds, on their own phones, with no installation whatsoever.

How it works at the door

The entire check-in flow is designed to be as frictionless as possible for event staff. There is no training required. Anyone who has used a smartphone can operate it.

Open the scanner URL on any smartphone. The event organiser shares a single link with all staff — no accounts required for scanner-only staff.

Grant camera access once. The browser asks for permission the first time. After that, the scanner is ready immediately on every subsequent open.

Scan the QR code on the attendee's phone or printout. The attendee's name, company, seat number, and category (VIP or General) appear within 2 seconds.

Tap "Check In" to confirm. The attendee is marked as checked in across all devices in real time. The dashboard updates instantly.

No app, no setup, no training

The scanner works on any modern smartphone browser — Chrome on Android, Safari on iPhone, Samsung Internet, Firefox. If the phone has a working camera and a reasonably modern browser, it works. There is nothing to install from an app store.

Scanner-only staff — volunteers, venue crew, temporary hires — do not need to create accounts. They receive the scanner URL and start scanning. The link can be shared over WhatsApp, printed as a QR code on the briefing sheet, or emailed before the event. When the event ends, their access simply stops.

In practice: a staff member who has never seen SignupDesk before can receive the link and start scanning attendees within 30 seconds — including the time to grant camera permission.

Built for real venue conditions

Venue wifi is unreliable. That is a given. SignupDesk's scanner is built as a Progressive Web App (PWA) — once loaded on the device, it continues to work even when the internet connection drops or becomes too weak to use. Check-ins are queued locally and synced to the server the moment connectivity is restored.

Multiple staff can scan from different venue entrances simultaneously. All check-ins sync to the same event — the dashboard reflects every check-in regardless of which device or which entrance processed it. There is no concept of "which device is the primary scanner."

Duplicate scan protection

If an attendee's QR code is scanned a second time — whether by accident or by someone trying to enter twice — the scanner shows a clear warning: "Already checked in at [time]" with the exact timestamp of the first check-in.

No duplicate check-in is created. The count on the dashboard does not increment. Staff immediately know the situation without needing to refer to a separate list.

Every registered attendee receives a digitally designed QR pass — a PNG image containing:

Attendees receive this pass on the confirmation page immediately after registering. They can download it to their phone's gallery or save it to their files. They can also print it. The scanner reads it reliably either way.

Common questions

Does the scanner require an app?
No. The SignupDesk scanner runs entirely in a smartphone browser — Chrome, Safari, or any modern browser. Staff open a URL, grant camera access, and start scanning. No app download required.
Does the QR scanner work offline?
Yes. The scanner is built as a Progressive Web App (PWA). Once loaded, it works without internet. Check-ins sync when connectivity is restored.
What happens if someone scans the same QR code twice?
The scanner shows a clear warning — "Already checked in at HH:MM" — with the original check-in timestamp. The second scan does not create a duplicate check-in.
Can multiple staff scan simultaneously at different entrances?
Yes. Multiple staff members can scan simultaneously from different devices and different venue entrances. All check-ins sync to the same event dashboard in real time.
What QR code format does SignupDesk use?
Each attendee QR code encodes a unique signed URL that resolves to their registration record. The QR code appears on their digital pass (PNG) which they receive on the confirmation page and via email.
