The WhatsApp thread with 47 speakers that ruined a Diwali weekend.

Late 2024, a design conference in Pune with 47 speakers across two days. Coordinator managed the whole roster on one WhatsApp group. Bios came in as .doc attachments. Headshots as low-res screenshots. Slides as Dropbox links that expired.

The Friday before the event, half the speakers had not sent final slides. The coordinator spent Diwali evening sending individual pings. One senior speaker replied "which event?" from a hotel in Zurich. Slides arrived at 3am on the day. Team missed the deck check window.

So the portal is built around one rule: no login. Speakers get a magic link by email. One click opens their page. Everything they need to do (upload bio, add headshot, drop slides, confirm session details) is on one screen with a progress bar. If they don't finish, they get an automated reminder at 7 days out, then 3 days out, then 24 hours out. No coordinator has to chase.

Small thing that changed the game: an "audience list" tab that unlocks 2 hours after their session ends. Speakers get to see who attended, opt-in email addresses only. Real value in exchange for filling the profile.

A 32-speaker tech summit, chased by a bot, not a human.

  1. 6 weeks out. Coordinator uploads a CSV of 32 speaker names and emails. System emails each a magic link. Subject line pre-templated but editable.
  2. Week 1. 22 speakers open the link within 48 hours. 19 fill their bio and headshot. Progress bar per speaker visible to coordinator.
  3. Automatic reminder at 3 weeks out. Anyone with less than 80% profile complete gets a nudge email. "Kavya Iyer, 40% done, missing headshot and slides." 6 more finish that week.
  4. 1 week out. 4 speakers still incomplete. Coordinator taps "send WhatsApp reminder" on their row (integration with WhatsApp Business API). All 4 finish within 24 hours.
  5. Day of event. Green room dashboard shows each speaker's session, mic type, room number, expected audience count from RSVP data. Speaker walks in, tech pulls up the deck from the portal, ready in 20 seconds.
  6. 2 hours after each session. Speaker gets an email: "Your audience list is ready." Opens portal, sees 178 opt-in emails. 12 of those become follow-up calls in the next fortnight.

Coordinator time spent chasing speakers: dropped from ~14 hours (last event) to ~90 minutes (this event).

Do speakers need a login?
No. Signed magic link by email. One click opens the portal. Admin can re-send or rotate the link at any time.
Different from Sessionize?

File size limits?
200MB per file, chunked and resumable. Larger keynote videos can be linked from Vimeo or Google Drive.
Can I preview before publishing?
