Why WhatsApp beats Drive, email, USB.

MethodOpen rateEffort per attendeeCost per 500 attendees
Google Drive shared folder~35%High (they scroll through 3,000 photos)₹0-1,000 (storage)
Email with ZIP~22%Very high (download, unzip, search)₹300-800 (SendGrid/Mailgun)
Pixieset/Pic-Time gallery link~55%Medium (still browsing all photos)₹1,500-4,000/mo
SignupDesk WhatsApp broadcast~88%Zero (personal album auto-created)₹400-500 (WhatsApp API)
USB / pen drive at exit~90% (of those who took it)Only 30-40% take one₹15,000-40,000

Open rate matters more than any other number. If attendees don't see the delivery, they don't tell their friends about your event next year. WhatsApp open rate is 3-4x higher than email in India.

Turn photo delivery into sponsor ROI.

Every downloaded photo carries a sponsor logo in the bottom-right corner (or wherever you configure). When attendees share these photos on LinkedIn or Instagram post-event, the sponsor logo travels with them.

The delivery report you can send the sponsor a week later:

  • Photos delivered: 8,240 across 512 attendees
  • Photos downloaded: 3,687 (45%)
  • Photos shared on social (tracked via URL params): 428
  • Estimated impressions: 62,000 based on average LinkedIn/IG follower counts

Compare that to a static booth backdrop that gets shot once and forgotten. Sponsor renewals go up.

92-95% in real conditions. Here's what shifts it.

We measured accuracy across 12 events run through 2026. Results:

  • Clean well-lit selfie + well-lit event photos: 95-97%
  • Selfie from a phone in bad lighting + normal event photos: 90-93%
  • Event photos in low-light banquet halls (many Indian venues): drops to 85-89%
  • Attendee changed hairstyle, wore glasses/mask: 75-85%

What we recommend to organisers:

  1. Ask attendees to upload a clear front-face selfie at registration. Reject dark or side-angle uploads.
  2. Give the photographer a lens with good low-light performance (f/2.8 or wider for indoor events).
  3. Fallback for the 5-15% who don't match: attendees can enter their WhatsApp number in the "Missing my photos?" web form and get all event photos as a backup.

What 5,000 photos actually cost to keep online.

A typical 500-attendee event produces 2,500-4,000 photos. At an average 4MB each, that's roughly 12-16GB of raw storage.

On AWS S3 (Mumbai region), 15GB stored + delivered to 500 attendees averaging 5 downloads each = ₹340 for the first month, dropping to ₹95/month for cold storage after 30 days. On our infra, we optimise (WebP conversion at delivery, deduplication) which cuts storage cost to about ₹110 first month, ₹40/month cold. Included in your plan.

Pixieset's equivalent 100GB plan is ₹1,200/month whether you use 15GB or 95GB. Pic-Time is roughly ₹1,400/month. If you run 4-6 events a year, dedicated event photo storage is 3-4x cheaper than a photographer-focused subscription because the workload profile is different.

Pairs well with these SignupDesk modules.

Questions organisers ask us

Can we deliver during the event, not just after?
Yes. If the photographer uploads in batches during breaks, we run face-match every 15 minutes and push new photos to attendees as they arrive. Great for weddings and celebrity events where attendees want to share on Instagram before they even leave.
What if the photographer uses a laptop tethered to the camera?
We support Lightroom Classic export presets that dump straight into a SignupDesk-monitored folder. New photos upload within a minute.
Can attendees opt out of face detection but still get photos?
Yes. They receive the full event album link instead of a personalised one. Same delivery, less curation.
Does it work for videos?
Currently JPEGs and PNGs only. Video delivery is on our roadmap for Q4 2026 - the tricky bit is bandwidth and face-match compute cost on video frames.
Can I keep the photos private to registered attendees only?
Yes. Photo albums are gated behind the WhatsApp OTP that comes with the delivery link. Non-attendees clicking a shared link see a "Register to view" page.
No more "please share the photos" WhatsApp messages.
Delivered automatically, 24 hours post-event. Sponsor logo baked in. Photographer just uploads.
