Why post-event certificates usually go out three weeks late.

Everyone underestimates the certificate step. It sounds like a five-minute job. It never is.

The usual flow: your designer builds a certificate template in Canva. You export the attendee list from your registration tool, clean it up in Excel, run a mail merge in Word for the names, export 400 PDFs, upload them to Google Drive, then paste 400 shareable links into a Mailchimp campaign one by one. Two days minimum. Longer if the designer is on holiday or the mail merge chokes on a Tamil name with an em-dash in it.

Meanwhile attendees are asking on LinkedIn where their certificate is. Speakers who agreed to a "small honorarium plus a nice speaker certificate" are wondering if the honorarium is coming either. By the time the certificates land, the event is old news and the recall value is gone.

We wanted certificates to feel like the confirmation email โ€” automatic, fast, forgettable. So we built them that way.

  1. Pick a template per variant. Attendee gets one design, speaker another, VIP another, volunteer another. Each carries its own wording and signature blocks.
  2. Set the qualification rule. Default: attendee must have been check-in scanned on the day. Optional: attendance at a specific session, or a minimum number of sessions if it is a multi-day event.
  3. Close the event. One click marks the event Completed. The background worker starts rendering PDFs against the attendance data.
  4. PDFs land in inboxes. Median 88 seconds for a 400-person event, tested against real event data. Each attendee also sees a Download button on their pass page.
  5. Verify URL on every certificate. Recruiters and universities scan the QR at the bottom, land on a public verify page, see the event name, date, and attendee name. No need to email the organiser.

When are certificates sent?

Who qualifies?
